Every carrier plan carries the whole product: transfer notes, consignment notes, season tickets, carrier checks, the driver app, invoicing, the customer portal and the compliance calendar. The plans differ only in how many sites they cover.
DEFRA’s own fee is separate
Registering a permitted site with DEFRA’s Digital Waste Tracking Service costs £26 a year, charged per permit-holding company and paid to DEFRA directly. They issue the API code that every receipt is filed under. That is their fee, not ours, and it never appears on a DutyOS invoice. DEFRA’s first payment is due by 31 January 2027, and a company that registers later in the year still pays the full amount rather than a part year.
Is the free GOV.UK service enough?
It might be. DEFRA’s own portal is free to use, and a site that receives a handful of loads a week and is happy to key each one in by hand can meet the duty with it. DutyOS earns its fee where that stops being comfortable:
- Every load is checked against DEFRA’s own rules before it goes anywhere — all 842 waste codes, reconciled against DEFRA’s live service with no differences — so a rejection is caught at the gate, not two days later.
- The two-working-day clock runs per load, in UK time, on every screen, so nothing quietly goes late.
- The paperwork photo is attached to the receipt as evidence, so what the driver handed over is kept with what was filed.
- Submissions wait rather than fail. If DEFRA’s service is busy, the load stays queued until it lands — an outage is never reported back to you as your mistake.
- Corrections are never refused, and your quarterly consignee returns and waste transfer notes — which continue alongside digital waste tracking rather than being replaced by it — are built from the same records.
Where DutyOS stands with DEFRA. We ran all 14 of DEFRA’s production approval test scenarios and claimed no exemptions from any of them. DutyOS is listed on GOV.UK’s Report receipt of waste software provider list (8 September 2026).
And on security. DutyOS Ltd holds a Cyber Essentials certificate for the whole organisation, issued 18 September 2026 and valid for twelve months. Verify it on the IASME registry.

I’m a carrier — do I need this before October 2026?
